Cost centres

Provisions, fuel, maintenance, spare parts, drydock, crew, insurance, port charges... 15 cost centres come preloaded with the setup and can be extended to match your own structure.

Budget planning

Budgets are defined per cost centre by vessel and period. The annual plan is spread across months, and seasonal differences (drydock periods, busy trading) can be reflected in the plan.

Budget vs actual

Planned, committed and actual amounts are shown side by side with the deviation percentage. You see where things drifted without waiting for month end.

Commitment tracking

The moment an order is placed the amount becomes an open commitment; when the invoice is approved it converts to actual cost. That way the "not spent yet, but promised" figure stays visible in the budget.

Invoice approval

An invoice that passes three-way matching enters the approval chain. Once approved it closes the commitment and finalises the expense; no amount is booked as actual cost without approval.

Multi-currency

USD, EUR, TRY and others, converted at central bank rates. Reports are consolidated into a single currency and exchange differences are tracked separately.

Per-vessel reporting

Each vessel's cost is tracked separately and vessels can be compared side by side. Which vessel costs more in which category is visible on one screen.

Expense classification

Spending is broken down by category and sub-category. OPEX reports come out ready for audit and board presentation, and can be compared against previous periods.

Common questions

What's the difference between commitment and actual cost?

A commitment is an amount you have ordered but not yet been invoiced for — the money hasn't left, but it is promised. Actual cost is an approved invoice. Tracking them separately lets you see the true state of your budget without waiting for month end.

Does it integrate with our accounting software?

Expense and invoice data are prepared in exportable formats. The transfer method is agreed at setup based on the accounting system you use; the Armada plan includes custom integration support.

Can we change the cost centres?

Yes. The 15 preloaded centres are a starting point; you can add centres and define sub-breakdowns to match your own structure. Historical records are not affected.

How are exchange differences handled?

Transactions are recorded in their own currency and converted to your chosen base currency for reporting at central bank rates. Exchange differences are tracked separately so they don't blur real operating cost.
